Duve is enhancing its reservation management capabilities by integrating a new feature that fetches and displays cancellation policies directly from Optima 1 PMS.
This functionality is particularly useful for reservations with special rates and conditions, ensuring that guests are clearly informed about the specific cancellation policies applicable to their bookings. For guests booking under specific rate categories like Non-Refundable or Long-Stay, the corresponding cancellation policy will be automatically fetched and displayed.
A dynamic parameter, {{CancellationPolicy}}, will be created to fetch the right policy for each reservation. This parameter will be accessible in all library sections across the Front Desk. In addition, the information can be used in messaging such as Chats, Emails, Schedule messages, and Guest App posts.
Sync with Optima 1: The system will sync the 'PolicyCode' and 'PenaltyDescription' fields from Optima PMS to the new reservation field. The 'PolicyCode' will appear as the first line, followed by 'PenaltyDescription' line.
How to set it up:
Go to Settings > Advanced > Cancellation Policy
This subsection will feature a matching table where hosts can input and manage cancelation codes and descriptions, including language versions.
The fields that need to be filled are the cancellation policy code should match the codes from Optima
Important Note:
The translation needs to be manual for all the required languages as they will not be translated automatically because of regulation compliance.
Customize per Language: This text is a legal policy, therefore Duve will not automatically translate the text added. If you have your cancellation policy translated into different languages, change the language to your desired language, upload the content, and Save.

How to Find the Cancellation Policy Codes in Optima
In the Optima reservation page, you can find the code on the top right and the description under the arrow➝
On the Reservation page, the cancellation policy description will appear below the Room Allocation and Dates.
