Cloudbeds: Custom Question Setup for Spanish Regulations

To comply with the 2025 Spanish regulations, Duve clients based in Spain using Cloudbeds PMS need to forward guest information to the Guest Profiles in order to automate sending the details to the Spanish Authorities.

These are the following supported fields that Duve syncs back to the Cloudbeds Guest Profiles, per guest

• First Name
• Last Name
• Second Last Name (not yet supported as a field match, but included in the Pre Check-in Summary Note)
• Date of Birth
• Nationality 
• Document Type
  • Only Passport is supported
• Document Number
  • Issuing Country
• National ID/DNI Number (for Spanish guests only) - (not yet supported as a field match, but included in the Pre Check-in Summary Note)
• Street Address
  • Address
  • City
  • Country
  • Zip Code - (not yet supported as a field match, but included in the Pre Check-in Summary Note)

For First Name, Last Name - go to the Basic Details and configure for "All Guests"

Configure Ask from to be "All guests" and Allow Skip = Never

For Email Address and Phone Number, configure for All Adults, Allow Skip = Never.

Second Last Name (not yet supported as a field match, but included in the Pre Check-in Summary Note)

Create a free text Custom Question for "Second Last Name".

Add the field match for "Second Last Name".

Turn on the Multiply by "Total guests in the Reservation"

Optional: Turn on the mandatory toggle & limit only for Nationality = Spain guests

Document Type: 

Turn on the Multiply by "Total guests in the Reservation"

Document Number

Create a Free text Custom Question for multiple choice, named "Identity Document number".

In the field match section, select "ID/Passport"

National ID/DNI Number (not yet supported as a field match, but included in the Pre Check-in Summary Note)

Create a free text Custom Question for "Support Document Number".

Add the field match for "National ID number/DNI".

 

 

Turn on the Multiply by "Total guests in the Reservation"

 

Gender

Create a free text Custom Question for "Gender".

Add the field match as "Gender".

 

Note: Add the Labels & Codes as written exactly below in order to ensure the mapping between the platforms.

Turn on the Multiply by "Total guests in the Reservation"

 

Date of Birth

Create a date Custom Question for "Date of Birth".

Add the field match as "Date of Birth".

 

Turn on the Multiply by "Total guests in the Reservation"
