We recently took a deep dive into hundreds of online check-in strategies that all of our customers have been using, and uncovered some pretty interesting insights. It turns out that the top-performing check-in strategies - with an average online check-in rate of 73%, have a lot in common! We’ve listed these tips below so you can implement them to start boosting your online check-in rates right away.
1. Use a combination of check-in reminders:
To ensure guests complete their check-in before arrival, use a blend of email and SMS/WhatsApp reminders. Our analysis has shown that the best online check-in rates are achieved when setting up three reminders with a combination of communication channels. The first reminder should be sent via email seven days before arrival, followed by a second email reminder three days prior, and finally, a combined email and WhatsApp/SMS reminder one day before arrival.
2. Incentivize online check-in completions before arrival:
All three reminders were set but it's the day of arrival and guests still haven't performed their online check-in? Create a welcome message on the morning of arrival to be sent to guests and in the message use an incentive to drive higher online check-in rates. For example, offer guests vouchers for complimentary welcome drinks or other perks when they check in online before their arrival.

3. Offer early bird discounts for OCI completions:
Motivate guests to complete the online check-in process by incorporating exclusive early bird discounts within the automated check-in reminders sent 7, 3, and 1 day prior to arrival. For example, offer room upgrades at special rates for guests who check in online at least 24 hours before their arrival. This approach not only promotes online check-ins, but also elevates guest satisfaction and boosts revenue.
4. Place Digital Spots around your lobby:
Have guests arrived without completing their online check-in? Display clear signs with QR codes in your lobby highlighting the convenience of online check-in and explaining how it ensures a smoother start to their vacation. Guests can easily use their smartphones to complete the process while enjoying a refreshment, thus avoiding the need to wait in line at the reception.
