Duve is introducing a new capability designed to streamline the compliance process for hosts, for countries like Austria where regulations mandate that every registration card must be numbered. This new feature allows hosts to generate and assign unique ID numbers per signature, eliminating the need for pre-numbered printed registration cards and significantly enhancing operational efficiency.
Guests won't see the running number, only hosts will see the number on the reservation page once the guest signs the contract, or via email if the option is selected. Hosts can view it also in their PMS in case Duve push this data to their PMS.
Overview
In Austria, compliance regulations require that registration cards be sequentially numbered. Traditionally, hosts have used pre-numbered printed registration cards, which guests fill out manually. This process is time-consuming and creates challenges for both guests and hotel staff. With Duve's new feature, hosts can now automate this process by setting a running number as part of the check-in contract. The running number will be different for each contract and will start from 10,000,000, with no upper limit.
How to Set It Up
Setting up the new ID number per signature feature in Duve:
- Access the E-Signature Settings:
- Navigate to the Settings page and go to the E-Signature section under check-in.
- Enable the Dynamic Parameter:
- Create a new dynamic parameter named {{EsignatureRunningNumber}}.
- This parameter will be available from the DynamicLibrary only on the E-Signature page.
- Configure the Running Number:
- The running number will start from 10,000,000.
- The number is separated between the brand and the company. For example, the first number for Brand A will be 10,000,000, the second will be 10,000,001, and so on. For Brand B, the numbering will start again from 10,000,000.
- Set Up in Contracts:
- Include the dynamic parameter {{EsignatureRunningNumber}} in the check-in contract setup. This will ensure that each signature gets a unique ID number.
Tips and Tricks
- Automate Notifications: Set up automated notifications to alert staff when a new number is generated and assigned, ensuring everyone is informed and processes run smoothly.
- Customize Per Brand: Take advantage of the ability to set different running numbers for different brands to better manage multi-brand operations.
Use Cases
- Host Sets a Running Number:
- A host sets a running number as part of the check-in "Contract." Each guest signing the contract receives a unique ID number starting from 10,000,000.
- Brand-Specific Running Numbers:
- A host sets a running number for Brand X, but not for Brand Y. Brand X's contracts will have unique ID numbers starting from 10,000,000, while Brand Y continues with its existing process.
- Sequential ID Numbers:
- For Brand A, the first reservation's contract is assigned the number 10,000,000. The next reservation's contract gets 10,000,001, and so on. For Brand B, the sequence starts again from 10,000,000, ensuring clear differentiation between brands.
