The Tasks page is your daily operations board. It brings together every arrival, departure, cleaning, and general task for a selected day or date range, so your team can see what needs to happen, who is responsible, and what is already done, all from one screen. You can work in List view (detailed tables by task type) or switch to Calendar view to see all your rooms or rentals and their reservations for the month.

Use cases
- Start the day with a clear list of who is arriving and leaving, and how far each guest got with online check-in.
- Assign greeters, check-out handlers, and cleaners, and let team members see only their assigned tasks.
- Spot same-day turnovers (a check-out and a check-in in the same room or rental on the same day) so cleaning can be prioritized.
- Release or hide access codes, send arrival messages, or resend the pre-check-in link without leaving the page.
- Create one-off general tasks (for example, "replace the TV remote in room 12") with a due date, time, and assignee.
- Export the day's (or a date range's) tasks and guest details to Excel or CSV.
Before you start
- Make sure your team members are added as users so you can assign tasks to them.
- To assign a default greeter, check-out handler, or cleaner per rental, set them on the rental page. New tasks for that rental are assigned to that user automatically.
- Some actions require specific permissions. For example, creating a reservation requires permission to edit reservations, and exporting requires permission to export data.
How to use it
Switch between List view and Calendar view
At the top of the page, use the tabs to switch between List view and Calendar view.
Choose the dates and whose tasks to show
- Open the first dropdown and select Company Tasks (all tasks) or My Tasks (only tasks assigned to you). If your account uses brands, you can also filter by a specific brand.
- Open the second dropdown and select Daily or Date Range.
- Daily: a week strip appears. Click a day to see its tasks below; use the arrows to move to the previous or next week, or click Today to jump back to the current day. Each day in the strip shows how many tasks are scheduled and how many are done.
- Date Range: pick a start and end date to see all tasks in that range.
Your Company Tasks/My Tasks choice is saved to your user profile, so it stays the same the next time you sign in, on any device.
Filter by task type
Use the tabs below the dates to choose what you see: Arrivals, Departures, Clean, General tasks, or All Tasks. Each tab shows the number of tasks in parentheses.
Use the options menu
Click the 3 dots icon on the right side of the tabs to open the options menu:
- New Reservation: opens the Create Reservation page, where you can add a reservation manually.
- New Task: opens the New Task popup. The task is added to General tasks.
- Export (Excel) / Export (CSV): downloads the tasks currently shown (based on your selected dates, tabs, and filters), together with the guests' details.
- Hide Completed / Show Completed: hides completed tasks from the list, or shows them again.
Customize and filter columns
Each task type has its own table. To choose which columns appear, click the columns icon next to the tabs (or next to each table's title in All Tasks) and select or clear the checkboxes. Your column choices are saved to your user profile.
You can also filter a table by a specific column (for example, by greeter) and resize columns by dragging their edges. Your column filters are kept when you leave the Tasks page and come back.
Assign a task
Click the assign icon in the Greeter or Assign column and select a team member. Only team members who have access to that reservation's brand appear in the list. To remove an assignee, select Unassign.
Mark a task as done
Click the check icon at the start of the row. For arrivals, departures, and cleaning tasks, a confirmation appears because this action can't be undone. General tasks can be toggled between done and pending at any time.
Completed rows appear faded in the table.
Task types
Arrivals
Shows all scheduled check-ins for the selected date or range. The header shows how many arrivals are done out of the total.
Default columns:
- Room/Rental: the room or rental name. The name appears in a different color when there is a same-day turnover (a check-out and a check-in in the same unit on the same day). A sub-reservation is marked with an arrow icon. Click the name to open the reservation.
- Guest name: click to open the reservation, or click to copy the name.
- Greeter: the team member assigned to welcome the guest.

- ETA: the estimated arrival time the guest selected. If the guest didn't select one, your minimum check-in time is shown as "Unknown".
- Last check-out: when the previous guest checked out of the same unit.
- Next check-in: when the next guest checks in to the same unit. If there is no check-in within 14 days, "Over 14 days" is shown.

When Control Devices is enabled, the Arrivals count shows the number of guests who completed registration out of the total number of guests, instead of the number of reservations.

- Each reservation is shown as a time period block on the calendar. If the pre-check-in is complete, the reservation booking will show as green, and the arrival time will be shown.
- A black dot will be shown on the day where a general task has been assigned on the Room/ Rental.
- A yellow icon will show when there are back-to-back reservations (check-out and Check-in) on the room.
- An orange yield icon will show when a reservation is missing the guest email.
- A red or white question mark will show when a guest has not completed the pre-check-in.
Restrictions & Limitations

- Calendar view: hidden for users without permission to view the calendar.
- New Reservation: shown only to users with permission to edit reservations.
- Export: shown only to users with permission to export data.

- Marking done: marking an arrival, departure, or cleaning as done can't be undone from the Tasks page.
- Expired reservations: guest link quick actions aren't offered for expired reservations.
Tips & Tricks
- Use My Tasks to give each team member a focused list. The choice is saved per user.
- Hover over a row and use the lightning bolt icon to act on a reservation without opening it.
- If a guest muted automated messages, sending the pre check-in manually asks you to confirm first, so you don't message them by mistake.
- Use Hide Completed during busy check-in hours to keep only what's left to do on screen.
- Set default greeters and cleaners on each rental page so new tasks are assigned automatically.
FAQs
Q: Why don't I see the 3 dots options menu?
A: Staff users don't have access to the options menu. If you're not a staff user, check with your admin about your permissions.
Q: Why is the New Reservation option missing from the menu?
A: It appears only for users with permission to edit reservations.
Q: Can I undo marking an arrival, departure, or cleaning as done?
A: No. A confirmation appears before you mark these tasks as done because the action can't be undone. General tasks can be switched back to pending at any time.
Q: Who receives a notification when I create a general task?
A: The team member you assign receives an email notification. You can also send a reminder email from the lightning bolt icon in the General tasks table.
Q: Why don't I see the Guest Registration column?
A: It's available only when Control Devices is enabled for your account. Once enabled, add it from the column chooser in the Arrivals table.
Q: Why does a room name appear in a different color?
A: It indicates a same-day turnover: a guest checks out and another checks in to the same unit on the same day.
Q: What does "Over 14 days" mean in the Next check-in column?
A: There is no upcoming check-in for that unit within the next 14 days.
Q: Will my column choices and filters be saved?
A: Yes. Your visible columns and Company Tasks / My Tasks choice are saved to your user profile, and your column filters are kept when you navigate away and come back.
Q: What does the export include?
A: The tasks currently shown on the page (based on your dates, tabs, and filters) and the related guest details, in Excel or CSV format.
