This feature enables hotels to collect and manage guest details for each room within a multi-room reservation. Instead of relying solely on the main booker’s information, you can now gather accurate contact details for each guest and share personalized check-in links per room.
Overview
When a reservation includes multiple rooms, Duve creates sub-reservations for each room. With this feature, the main guest can:
- Add guest details for each room
- Share online check-in links with other guests
- Ensure each guest receives the correct information and access
Sub-reservation guests can then complete their own check-in and access their personal Guest App.
How It Works
Step 1: Accessing the Sub-Reservation Screen
When a main guest enters the Online Check-in (OCI) flow for a reservation with multiple rooms, they will see a Sub-Reservations screen.
Step 2: Adding Guest Details
If the main guest selects “Add guests’ details”, they can enter information for each room.
For each sub-reservation, the following is required:
- First name
- Last name
- At least one contact method:
- Email address or
- Phone number
Once all required details are completed:
- The information is saved to each sub-reservation
- The guest is redirected to the Basic Details (Online Check-in) screen
Step 3: Inviting Guests to Complete Their Own Details
Instead of filling in details manually, the main guest can choose to share invite links.
Invite Types
Room-level invite
- Sends a unique link for a specific room
- The guest is directed straight to their room’s check-in
General invite
- Sends a shared link
- The guest selects their room before continuing
Step 4: Sub-Reservation Guest Experience
Guests who receive an invite link can complete their details independently.
In the Settings > Extra Customization, set whether guests of sub-reservations should complete the full Online Check-in or only the Quick Online Check-in (Basic Details)
Depending on the host’s settings, they will see either:
- Quick check-in, or
- Full online check-in (Basic Details)
In both cases:
- First name and last name are required
- At least one contact method (email or phone) must be provided
After completion:
- Their details are saved to their sub-reservation
- They are redirected to their personal Guest App
Scheduled Message Support
Hosts can also set up a Scheduled Message to establish communications with the guests of sub reservations:
The trigger will fire when sub-reservation fields “phone” or “email” are updated by the main guest at the Global sub-reservation screen.
Additional Notes
- Guests can skip adding details or sending invites and continue the check-in process
- The main guest can choose to either fill in details or delegate to other guests
- Each room can have its own guest details and communication flow
